Cool Heat Direct LLC is an online-only store. We do not operate a public retail storefront. Orders are placed through the Website and may ship from U.S. warehouse locations depending on product availability, supplier logistics, and delivery destination.

2. Eligibility

You must be at least 18 years old, or the age of majority in your state, to place an order through the Website.

By using the Website or placing an order, you confirm that:

However, product information may contain errors, become outdated, or be changed by manufacturers, suppliers, warehouses, or service providers.

  • Refuse, cancel, or adjust orders affected by errors, where permitted by law

4. Pricing, Payment & Financing

All prices are listed in U.S. Dollars (USD) unless otherwise stated.

Payments are processed securely through Shopify and its approved payment providers.

Available payment methods are shown at checkout and may include:

  • Shop Pay

  • PayPal, if enabled

  • Shop Pay Installments, if available

  • Other payment options displayed at checkout

If financing or installment options are offered, such as Shop Pay Installments, they are provided by third-party financing providers and are subject to their eligibility, approval, terms, conditions, interest, fees, and repayment requirements.

Cool Heat Direct LLC does not control financing approval decisions, financing terms, or repayment schedules.

Unless an approved financing or installment option applies, orders must be paid in full at checkout.

5. Order Acceptance & Verification

Placing an order does not guarantee acceptance.

We may, at our discretion:

  • Verify customer information before processing or shipping

  • Limit quantities

  • Refuse or cancel an order

  • Place an order on hold

  • Correct pricing or listing errors

  • Request additional payment or delivery information

  • Cancel orders that appear suspicious, fraudulent, high-risk, or unverifiable

If we cancel an order after payment has been captured, we will issue a refund to the original payment method whenever possible.

An order is confirmed only after successful payment authorization or payment completion and acceptance by Cool Heat Direct LLC.

6. Order Cancellations

If you need to cancel an order, contact us immediately at support@coolheatdirect.com.

An order may be cancelled for a full refund only before fulfilment, freight booking or shipment preparation has begun.

Once fulfilment, freight booking or shipment preparation has started, the order cannot be cancelled. If the product ships, the standard return terms described in our Returns & Warranty Policy will apply.

Refusing an undamaged delivery without prior written authorization does not constitute a cancellation. The customer may be responsible for return freight and a 15% restocking fee.

7. Shipping & Delivery

Shipping terms are governed by our Shipping Policy, which forms part of these Terms.

Free standard shipping is available on eligible orders delivered within the Lower 48 states and Washington, D.C., as shown at checkout.

Select products may be available for delivery to Alaska or Hawaii by custom freight quote. Customers must contact Cool Heat Direct before placing an order for those destinations.

Orders are typically processed within 3–5 business days. Delivery generally takes an additional 5–12 business days, depending on the product, warehouse, carrier and destination. Delivery dates are estimates and are not guaranteed.

Some products ship by freight carrier and may be delivered curbside. Customers are responsible for providing accurate delivery information and ensuring suitable access for the carrier.

Customers must inspect freight shipments at delivery and note visible damage on the carrier’s delivery receipt. Full delivery, freight and damage-reporting instructions are stated in our Shipping Policy.

8. Returns, Refunds & Warranty

Standard returns may be requested within 30 calendar days of delivery.

Eligible products must be:

  • New, unused and uninstalled
  • Unpowered and not connected to electrical or refrigerant lines
  • In their original manufacturer packaging
  • Complete with all parts, accessories, manuals and documentation
  • In resalable condition
  • Approved in writing before being returned

For approved change-of-mind, incorrect-size, unsuitable-model or customer-ordering-error returns:

  • The customer is responsible for return shipping or freight
  • A 15% restocking fee applies
  • Any original shipping charge separately paid at checkout is non-refundable

No restocking fee applies to a new and uninstalled product verified as damaged in transit, defective, incomplete or incorrectly supplied.

We aim to inspect an authorized return within 3 business days after it reaches the approved return location. Once approved, the refund will be issued to the original payment method within 7 business days after inspection, normally no later than 10 business days after the returned product is received.

Installed, powered or used products are generally handled through the applicable manufacturer warranty process rather than as standard returns.

Nothing in these Terms limits rights or remedies that cannot legally be excluded under applicable law.

9. Product Use & Installation Responsibility

Heating and cooling systems may involve:

  • Electrical components

  • Refrigerant lines

  • Technical installation requirements

  • Product-specific setup requirements

  • Local code, permit, or inspection requirements

Customers are responsible for reviewing product documentation, understanding installation requirements, and complying with all applicable federal, state, and local laws, codes, and regulations.

If professional installation, licensed electrical work, permits, inspections, or other professional services are required or recommended for a product or situation, customers are responsible for arranging those services.

Cool Heat Direct LLC does not provide installation services and does not act as a licensed contractor, engineer, electrician, HVAC technician, or on-site service provider.

Any sizing information, buying guidance, installation notes, or compatibility information on the Website is provided for general informational purposes only and should not be considered professional engineering, HVAC, electrical, building code, or installation advice.

10. Accounts & Customer Information

If you create an account or provide information during checkout, you are responsible for keeping your account information accurate and secure.

You agree to provide accurate and complete information, including:
